Facility Booking

In accordance with our Library Facility Policy, the library is dedicated to fostering a space where community members can come together. While library spaces are primarily used for public purposes—such as hosting library programs, activities, and meetings organized or sponsored by the library—certain spaces are made available for private rentals when not in use. These spaces include: 

  • The Community Room
    • Capacity: 40 seated
    • Regular rate: $70 per hour
    • Non-Profit rate: $36 per hour
    • Additional $40 charge for access to the audio-visual system
    • After-hours bookings are based on staff capacity and incur an additional $20 per hour fee
    • Two hour booking minimum
  • The Fireplace Lounge
    • Capacity: 200 standing; 80—100 seated
    • Regular rate: $200 per hour
    • Non-Profit rate: $150 per hour
    • There is no built-in audio-visual system in the Fireplace Lounge
    • Staff costs are included in fees
    • Bookings can only be made outside of library operational hours 
    • Two hour booking minimum
  • Please note that facility rates increase by 2% to the nearest dollar on an annual basis 

 

Definition of Non-Profit: Non-profit or community groups are defined as organizations whose objectives are not related to profit generation. These may include non-profit organizations, youth-led groups, educational institutions, or organizations where no portion of earnings is distributed to members, directors, or officers. 

Basic Rules for Facility Bookings:

  • The Renter is responsible for setting up and taking down tables and chairs prior to, and following, the Event.
  • Clean up after yourself as best you can. The Renter may be charged an additional fee if the room is left extremely messy.
  • Do not use tape or glue on the walls.
  • Persons using this room will comply with all library policies and rules as well as federal, provincial and municipal legislation.
  • Damage to the facility will be paid for in full at a cost determined by the Library Director.
  • You must not block any passageways or emergency exits. If furniture needs to be moved from the meeting room, please speak with a staff member.
  • The Library reserves the right to cancel any booking with reasonable notice.
  • The Library can refuse or cancel a booking if it could interfere with Library operations, or poses potential physical risk to Library patrons, staff, or property.
  • You must not admit more than the maximum number of people, as described by the room occupancy, into the meeting room.

Rules for Advertising:

  • The Library, by permitting the Renter to hold an Event at the Library, does not in any way endorse the Event.
  • The Library will not promote private events held in our rental spaces.
  • Any advertising or promotion of the Event may solely refer to the Library as being the venue location for the Event. The Renter is asked to mention the specific space rented (e.g. Community Room—Whistler Public Library Community Room) in their communications.
  • Renters may not claim Library sponsorship or endorsement of an event without the Library’s prior written permission. This includes use of the Whistler Public Library logo. In addition, Whistler Public Library should not be tagged in any social media promotion of the event.
  • On the day of the event, promotional materials and other literature can only be displayed or distributed within the room booked.
  • Upon request, the following statement must be displayed prominently at the event or in promotional materials: “Statements made during this event do not necessarily reflect the values or opinions of the Whistler Public Library”.

Library Facility Use Request Form

Minimum booking time is two hours. You are responsible for setting up the space for your event and re-setting it after your event.
